Add a registrant by hand

Put someone on an in-person page’s list yourself, without them going through the page.
What it’s for
Some people never go through your page: the speaker you invited, the client who asked by email, the person who turns up without registering. “Add a registrant” puts them on the list with your page’s own form. Nobody accepts the Livestorm terms on their behalf, and there is no captcha or payment.
Open the “Registrants” tab of a published in-person page. “Add a registrant” sits with the other actions above the table.
Click it. The window asks for the email first, then your page’s own fields, in the same order and with the same rules as the public form: a conditional field only appears once the answer it depends on is given.
If the event has several dates, tick the ones this person comes to, under “Sessions they attend”. Today’s is ticked for you when the event runs today, otherwise the next one.
Tick “Check them in now” for someone who is already there: they count as arrived straight away.
Click “Add the registrant”. The person appears at once, first in the list, tagged “Added manually”, with a ticket and a badge like anyone else.
Good to know
- The button only appears on a published in-person page whose event you created in Venue. A page on a connected event, Livestorm or Zoom, takes its registrations through that platform.
- When one of the page’s active campaigns sends a confirmation email, the window adds “Send them the confirmation email”, ticked. Untick it to hold that email back for this person; reminders go out either way.
- Each email is one person. If the address is already on the list, nobody is added: the window offers to check that person in, or says when they arrived. For someone waiting for your approval or on the waiting list, it sends you to that view instead.
- Your add counts as the approval: on a page that requires approval, the person goes straight to Approved. On a paid page, the window says the add is free.
- When the page is full, the window asks “This event is full. Add them anyway?”, and “Add beyond the limit” adds this one person over your cap. Your workspace’s registrant limit and the page’s email domain restrictions always apply.
- You can register someone on any of the event’s dates, including one that has already started.
- Livestorm’s terms are never accepted for someone else: the window leaves them out, and the person’s Consent column stays empty. Your own consent questions appear unticked.
- At the door, the scanner’s “On site” tab runs the same form on a phone, set for someone standing there: today’s date ticked and the arrival on. See “Scan tickets at the door”.
- People added by hand count in the Overview’s registration numbers but are left out of the acquisition sources. In an export, the Origin column marks them “Added manually”.
- Each add is recorded in Settings → Audit log, with the email masked. Under the “Don’t store on Venue” retention setting, the person is stored anonymized, like any other registration.
